Summary:

The Running for a Better Oakland Program Coordinator is responsible for all administrative tasks needed to support the Executive Director to ensure that the youth running program runs smoothly, such as scheduling participant registrations, event signups, brainstorming new activities, ordering supplies, fundraising and bookkeeping support, and supervising our volunteers who work directly with youth.


Job Description:

The Program Coordinator is for a Youth Running Program for Running for Better Oakland (RBO). This opportunity is a part-time, seasonal position responsible for performing recreational and operations work in planning, organizing, implementing our Fall and Spring seasons and attending weekly practices held on Saturday mornings. This role is an individual contributor role with direct leadership from the Executive Director (ED) and dotted line to Head Coach (HC), and providing support to the Board Treasurer. There is a high level of interfacing with volunteers, parents, and students.

The preferred candidate would know basic QuickBooks software skills and accounting concepts, and have administration and organizational skills. They must be comfortable using the internet for most of completing their tasks and communicate well via email. Have a combination of education and experience equivalent to a high school certificate with primary course work for a non-profit organization or recreation/leisure services, or related field and some experience in organized recreational programs. Must be computer literate and can organize several tasks at a time. Neither running experience, nor running with our students at practices, are part of the requirements.


Responsibilities:

  • Handling logistics for Saturday run practices for two 3–4-month seasons per calendar year (Head Coach handles designing the running workouts)

  • Preparing for races, including sign ups, and delivery of race bibs and swag and some local travel on race days

  • Ordering and maintaining inventory of t-shirts, shoes, supplies, food, donations, and keeping equipment safe, clean, and functional

  • Responsible for weekly popup set up and breakdown, primarily in Snow Park in Oakland

  • Coordinating with ED on Seasonal sign ups

  • Oversee RBO Van Maintenance, drive Van to-and-from Saturday Practices, load/unload Van contents

  • Operating registration equipment including laptops, scanners, walky-talkies to be fully charged and in working conditions for weekly practices

  • Supervise with frequent interaction with students and address students’ issues and concerns

  • Respond in a timely and professional manner to all online inquiries from race organizers

  • Track all monetary donations from multiple donation platforms and provide email or mailed receipts to donors for all donations within a timely manner

  • Process and track registered volunteer background check verifications and COVID-19 vaccinations

  • Retrieve registration from the website or Google docs, create practice rosters, and ensure they are updated weekly and provide weekly attendance reports to ED and HC

  • Reconcile bank accounts and basic bookkeeping to enter all monthly expenses and income in QuickBooks software

Physical Demands and Working Environment:

  • Ability to lift up to 20. Lbs.

  • Must be agile; movement includes kneeling, squatting, and bending at the waist

  • Exposed to the elements, rain, sunshine, cold and warm weather

  • Ability to stand on feet for more than an hour at a time

  • Ability and willingness to work Saturdays during the season (8-12 weeks) from 8-11 am

Requirements:

  • High school diploma or equivalent, supplemented by college-level specialized training in recreation, leisure studies, physical education, public administration, business administration, or a related field

  • 2-3 years of relevant experience working for a non-profit or in a recreation or leisure services program area

  • Clean CA Class C Driver License and DMV record

  • The candidate must successfully pass a criminal background check

  • Must show proof of vaccination against COVID-19 virus

  • Possession of a Cardiopulmonary Resuscitation (CPR) Certificate preferred*

  • Possession of a Standard First Aid Certificate*

  • Bilingual skills are a plus; Spanish-speaking preferred
